💡 A Communications Assistant is a gatekeeper between you and any incoming information. Be it e-mail, social media messaging like Instagram or Facebook, instant messaging like WhatsApp and SMS, or even voicemail or old-fashioned posts.

💡 There is only a tiny percentage of this flow of information urgently that needs your attention or action. Your CA will filter all the data and ensure you only receive all that is pertinent.

💡 Your CA will ensure your clients and other messages receive a reply in a timely fashion. Also setting a reasonable expectation for action on their request.

💡 As the role expands and the CA becomes familiar with your systems and organisation, they can also assign tasks to the appropriate team member. You can utilise a task management app. And your CA can input all those actionable communications to assign them to the correct staff in the timeframe.

💡 Set up rules for all the different types of communications. And within a few weeks, your CA will be fully able to circumnavigate you with unnecessary messaging.

We know how they are assigned priorities, and who they’re assigned to if any actions need to be done before we pass things over. And then make sure those are chased up, and then the person is replied to in an appropriate time frame.’
